Systems Coordinator

The Systems Coordinator will engage in daily communication with TAT team members and, on occasion, interact with outside stakeholders and partners. The Coordinator shall actively be working to shape and maintain our Salesforce instance, as well as synthesize and input data in support of multiple programs across the entire organization. The Coordinator shall also help drive the development and maintenance of web/tech-related systems, such as TAT’s public-facing reporting page (TAT Trained) and the education portal on LearnWorlds. The overall goal for the Systems Coordinator is to help the TAT team improve efficiency and data reporting and manage, maintain, and streamline the various systems and platforms TAT uses on a daily basis.

Requirements include strong computer and communication skills, the ability to problem-solve and improvise, and to align systems with the big picture in order to affect overall mission success. The ideal candidate will have excellent organizational skills and the ability to work collaboratively with multiple team members at a time on competing projects/deadlines.

Key responsibilities include:

Data Management

  • Work to stay current on data management issues and be forward-thinking in streamlining processes
  • TAT Education Portal learning management system assistance (built on LearnWorlds)
  • Monthly reconciliation of users on LearnWorlds
  • Data entry of users from LearnWorlds over to Salesforce database
  • Run and pull reports (i.e., for companies, other staff, various states)
  • Assist with reconciling total training numbers to help get an accurate picture of impact across North America
  • Combine Portal, Salesforce, and TAT Trained page numbers
  • Help automate and integrate systems between Salesforce, the TAT LearnWorlds portal and the TAT Trained registration page
  • With input from the Data Administration Specialist, improve and customize Salesforce to best suit the needs of TAT as the organization grows in size and scope

Admin/Data Entry/IT

  • Create and enter accounts, contacts, campaigns and opportunities in Salesforce for various staff
  • Help to perform carrier and Learning Management System (LMS) audits to cross-check training numbers across multiple systems, both internal and external, and input that data into Salesforce
  • Log numbers reported by TAT-training companies into Salesforce
  • Train TAT staff on Salesforce changes and updates
  • Perform clean-up of account and contact entries in Salesforce
  • Collaborate with the Director of Finance and Corporate Engagement Manager to assist with the internal management and tracking of corporate sponsor benefits, reimbursements, and employee giving in Salesforce
  • Offer general IT support to the entire TAT staff (e.g., Google Admin, Salesforce Admin, implementation of software on devices, advice to staff on solving problems with tech/systems, etc.). Devices in use include Apple, Microsoft, and Android.
  • Assist with the streamlining of multiple systems currently used to store team documents and resources (Google Drive, Dropbox, Vimeo, YouTube, etc.)
  • Other duties as assigned

Successful candidates will have:

  • A strong desire to combat human tracking (background knowledge preferred but not required).
  • Strong computer skills, including formatting and advanced skills with Microsoft suite, including Access, Word, Excel, and PowerPoint.
  • Experience working with Salesforce is required. Experience with Salesforce administration (e.g., experience building reports, custom objects, new record types, and roll-up fields) is preferred.
  • Demonstrated experience providing IT support and assistance, including work with Apple and PC products.
  • Ability to meet or exceed deadlines, plan time and schedule accordingly, stay on task while working with a variety of people, coordinate and keep track of multiple details and problem-solve successfully.
  • High initiative, ability to self-start, and work independently devoid of office setting.
